Buying an item abroad: How do I apply for a VAT refund?

This article helps in situations where a bidder exports a won item abroad and would like an invoice without value-added tax (VAT).

 

THIS ARTICLE EXPLAINS:

VAT is paid for all Huutokaupat.com purchases at the time of transaction.

Foreign companies operating within the EU can apply for a VAT refund afterwards. We will refund the VAT portion once the required conditions for a refund are met.

 

Criteria for VAT refund

  • The item is purchased as a company and paid from the company’s account. The payer cannot be a private individual.
  • The item has been exported out of the country
  • All documents and other clarification requested for the VAT refund have been properly submitted to Huutokaupat.com customer service

 

What is needed for a VAT refund

The item must be purchased in the name of a non-Finnish company and paid from the company’s account.

In addition, we need all of the following:

  1. Declaration of item export from auction -form (form at the end of this article)
  2. Waybill or other official proof of export
  3. Paying company’s bank account details (account number and BIC code)
  4. Company’s VAT number
  5. Company’s billing address

You can send the documentation with attachments to asiakaspalvelu@huutokaupat.com. Write "VAT refund" as the subject of your message. We will check the information and request additional information if necessary. You will receive a confirmation from us once the refund has been completed.

 

How quickly is VAT refunded?

Before the refund can be processed, Huutokaupat.com must have all the necessary information. Please send them compiled in one email and as soon as possible after exporting the item.

Once all necessary information has been received, it usually takes several weeks to verify the information. Roughly estimated, the refund process takes about 3–8 weeks.

 

Can the item be paid for without VAT?

An item can never be paid for at Huutokaupat.com without VAT.

If the company listing the item is willing to complete the sale with you directly and take responsibility for the transaction, this can exceptionally be done for items exported abroad.

In this case, the transaction is completed directly between the seller and the buyer as a user-to-user transaction. Huutokaupat.com is not a party to the transaction. The company that listed the item will issue you an invoice and is responsible for all documents related to the transaction as well as any post-sale actions.
